Music Boosters Meeting Minutes

Date: August 28, 2017

Time: 7:03-8:12 PM
Location: Allen School, Band room


Attendees: Richie Monteith, Linda Roth, Melissa Rahn, Suzy Gonzales, Richard Lacy, and several band students and parents


Absent Officers: Bailey Diediker


Meeting was called to order at 7:03 pm, by Richie Monteith. 


Approval of minutes: Sara Kumm motioned, Misty Isom second, minutes passed unanimously


Treasures Report:  We currently have $18,604.00 in our checking, $343.00 in our Savings and $5,011 in a CD gaining $0.43 interest.  Bringing our total to $23,958.00.  Misty Isom motioned, Brad Gonzales second, motion passed unanimously.


Band director’s report:  Reported there is approximately $11,500.00 in the school fundraising account.  Total needed to go is $50,000.  And additional funds raised will be used toward the kids having extra meals paid for or extra activities while in San Antonio.


Old Business:


Bob’s bar coffee money turned in was $315.00.  This brings our Bob’s coffee money to $1,646.25.  The Bob’s coffee fundraiser will continue until we leave for the Alamo bowl.


New Business:           


Fundraising: Cookie dough has started


Bowl shirts:  We can use the Alamo bowl logo on our shirts. Mr. Lacy asked us to check into different companies to make the shirts and to see how many sponsors will be on the shirts and if the students’ names will fit on the shirts also.  The logo design will be put on hold for a while until we receive the tuba covers back.  These covers are being custom made for this bowl game.  Mr. Lacy would like to have the covers and shirts match.  Richie and Melissa are going to contact a couple of different shirt companies to get some quotes. A letter will be going home with the students to collect donations for the shirts. Shirts need to be ordered by the end of September.  Quotes & designs will be voted on at our next meeting.


Alamo Bowl: All of those who attended the meeting were given a schedule of events with approximate times of each activity the students will be participating in.  This schedule has also been posted on the Allen Music Boosters Facebook page. 


Currently the students and sponsors are scheduled to leave on Monday, December 25 at 3:00 PM.  There are two additional options the parents will have a chance to vote for their preference.  These are leaving on December 25th at 5:00 PM or have a late van wait to leave with a few students.  Under no circumstance will the students leave on Tuesday, December 26.


Mr. Lacy mentioned we are the only band from Nebraska attending the Alamo Bowl this year.  The largest band attending this year is from Detroit with 220 members, the smallest is from Kanasa with 24 members.


There will be 5-7 students per adult sponsor going.  We are taking 1 bus and 3 vans on the trip.  Each student and sponsor will rotate every 3-4 hours.  Students will be staying in groups of 4 in the hotel.  Students are allowed to pick who they would like to room with.  However, if there are only 2 -3 in a room another student may be placed in that room without any arguments.


Every student and sponsor is required to pay $200 each to go and should have roughly an additional $200 in spending money.  If a student cannot afford to go on the trip we do have some outside sponsors who have donated money for these students.  The money is due by Mid October.


The first major payment is due September 10 and the final payment will be due in early December.


Additional New Business:


Greta Kraemer reported that the Allen Community Club has a lot of deli ham (currently frozen) left over from BRAN.  They would like to see if the music booster can use this. Some suggestions were to make sandwiches for the kids as they travel to San Antonio, or use during the dinners Mr. Lacy would like to hold this fall.

Greta also mentioned Schwan’s has been contacting her again about doing another fundraiser.  We raised around $1,000 last year.  This fundraiser will take place around November 1, 2017. 

Mr. Lacy would like to have another Alumni letter go out.  We will be eliminating anyone who has already donated.  We will also be sending out a letter to area businesses asking for their support.

At this time, Richie asked for a motion to adjourn our meeting.  Brad Gonzales motioned, Marc Bathke second, motion carried and was adjourned at 8:12 PM

3. It is a sponsored trip. There will be at least 1 adult per 4 children going.


Next Meeting: September 18, 2017 @ 7:00 PM,
