SEPTEMBER MUSIC BOOSTER MEETING MINUTES

Music Boosters Meeting Minutes

Date: September 19, 2016

Time: 7:00-8:30 PM
Location: Allen School, Multi-Purpose Room

 

Attendees: Richard Lacy, Richie Monteith, Sara Kumm, Melissa Rahn, Lori Thomas, Brad & Suzy Gonzales, Marlene Levine, Trish Grone, Misty Isom, Libby Green, Candy Strivens, Jayme Floyd, Gretta Kraemer

 

Committee Make Up:

The Music Boosters committee has some new members and positions!

Up-Coming Fundraisers:

**Bake sales for both PTC (Sept 22) and Christmas Concert (Dec 16)

**Concessions for JH/JV games on Sept 26 & Oct 10

**Tailgates at home football games on Sept 23 & Oct 14

**Pancake Supper at volleyball Senior Night on Oct 18

 

**September 19 concession stand brought in $331.00

**Cookie Dough – will end on Friday, September 23.  We receive $6.40/tub sold.  As of Sept 15, estimated count was around 372 tubs sold for an estimated total of $2400.00

**Puffins – will start around Thanksgiving

**Hams – will start around Thanksgiving

 

Financials:

**School Fundraiser Account $9100.00

 

**Laser Tag & Pancake breakfast which was held Sept 10-11, 2016 brought in a profit of $1,011.29

**Bob’s coffee money brought in $155.00 for August.  Anyone wanting to donate coffee please pick up Folgers, Regular, Classic Roast (large cans at Sam’s Club for $10-$11)

**Schwan’s Fundraiser to date raised $933.00

 

Upcoming Events:

**September 20, 2016 – Uniform fitting at 1:45 & 2:45 PM.  Lori Thomas, Marcia Rastede & Marlene Levine will work with the students for these fittings.

**September 22, 2016 – Bake Sale during Parent/Teacher conferences.  1 bake sale item per family or $5 donation.  Misty Isom will work the bake sale along with a student or two.  Rich, Melissa & Libby will be stopping by to help if needed.

**September 23, 2016 – Football tailgate at football field.  Set up 5:30, begin serving at 6:00 – halftime.  Menu: Taverns, Hot dogs, Chips, Bar/Cookie, Drink for $5/plate.  Workers needed

**September 24, 2016 – Octoberfest Parade in Norfolk – Bus to depart around 7 AM.  Sara Kumm and Trish Grone to sponsor the event.

**September 26, 2016 - JH / JV Concession stand at the football field.  Beginning at 3:30 pm until the end of the JV game.  Workers needed

**October 1, 2016 – Sioux Falls Parade - Bus to depart around 6 AM.  Sara Kumm will sponsor.  One more parent is needed

**October 8, 2016 – Wayne Band Day – Bus to depart around 7 AM.  Sara Kumm and Libby Green to sponsor the event.

**October 10, 2016 – JH / JV Concession stand at the football field. Beginning at 3:30 pm until the end of the JV game.  Workers needed

**October 14, 2016 - Football tailgate at football field.  Set up 5:30, begin serving at 6:00 – halftime.  Menu: Taverns, Hot dogs, Chips, Bar/Cookie, Drink for $5/plate.  Workers needed

**October 18, 2016 – Pancake Supper during the Volleyball game.  Set up will begin at 4:30 PM and will run until the end of the JV game.  Workers needed

 

This and That

**Melissa will be getting the alumni letter and list so we can get these out no later than October 1.

**Mr. Lacy will have students hand address all envelopes

**Mr. Lacy and Richie Monteith will personally sign each letter sent out and all envelopes are to be addressed by hand.

 

There will be an officer only meeting on Saturday, October 15.  This will be held at 10:00 AM at Rich & Tina Monteith’s home in Martinsburg.

 

**Mr. Lacy discussed at the meeting we have an opportunity to have early registration for the bowl game.  What this would include is a price lock, $250 Amazon gift card, and $750 scholarship.  Currently our agreement with the School Board is we cannot sign our registration until ½ of the funds are raised, by the January 2017 School Board meeting, which totals at $23,000.  We currently have around $15,000 raised (before cookie dough sales close).  Mr. Lacy has visited with Mr. Pattee about the early registration and the benefits we would receive with it.  Mr. Pattee has agreed to address this with the School Board on October 10, 2016 and will notify Mr. Lacy of their decision.

 

2016 Band Bowl Game Trip:

**The School Board approved unanimously to allow the Allen Schools to enter into a contract for the Allen Band to attend the Alamo Bowl in San Antonio, TX in December 2017/2018, once it is shown that half of the total cost of the trip has been raised.  With this decision it was approved for the use of 3 vans plus fuel and the cost of 1 bus plus driver to be paid by the school.  All other expenses are to be fund-raised and as state above a minimum of ½ the cost is to be earned before a contract can be signed to attend. 

**Estimated cost for the bowl game to raise is $47-50K

**Estimated cost per student to attend is $200

 

**We need to raise $22,500.00 by December 31, 2016.  We currently have around $11,000.00

 

 

3. It is a sponsored trip. There will be at least 1 adult per 4 children going.
